Align & lock goals

Set the goals, the owners and the access. Two dates get locked here: the archive and the incentive, both Friday the 17th.

Confirm the operational lead at Stowaway & the communication channel for the campaign
Confirm what success looks like: fan content volume leads, ticket lift & email capture support it
Confirm emails send from Stowaway's own domain, and take Instagram & email list access in this call
AskConfirm the signage print deadline. If it falls before 22 July, every date below moves

02 Before · by 20 Jul

Pre-seed the gallery

Load the archive, link the domain, upload the audience. All of it needs to be done before the 21st.

Fri 17Hand over the archive. Up to five years of festivals, whatever exists. Everything downstream waits on this one thing
Decide how the gallery is structured: by year, or split into Day 1 / 2 / 3. Open until we see how much archive there is and what we can turn around before the 21st
Link Stowaway's email domain to the platform. We send the DNS records, your team adds them in the back end. Only the 6 Aug send needs this, but it needs it from your domain. Confirm who has domain access and how quickly they can action it
Load the existing audience via CSV, and confirm legal details for the privacy policy
Drop Highlight builds the profile, curates the seed set, drafts it and sends for review

03 Before · live 21 Jul

Outreach, incentive & QR

Two archive sends and the QR setup. Tier 3 and day tickets are live until Friday, so the ticket CTA only runs in this window.

Fri 17Lock the incentive. Single biggest lever here and it's Stowaway's call: 2027 glamping or Wild Spa upgrade · little ravers family shot · bar & food credit drawn daily
Tue 21Archive gallery live. Email and Instagram, ticket CTA baked in
Wed 29Final archive send. Day tickets, last-chance framing
Confirm QR placement on-site (entry · bars · food · camping · glamping · stages · Wild Spa) plus ownership & deadline for print. We supply the codes, artwork and placement plan; printing and placing sit with Stowaway
Confirm the fan-shared content review flow. Nothing goes straight to the gallery

04 31 Jul – 2 Aug · Festival

Execute

Capture, upload, moderate. Three Instagram sends across the weekend, one moderation pass a day.

Capture the weekend: the team shoots, and fans add their own frames from the floor
Fans scan, upload, and get their own private gallery back. The email opt-in sits behind the gift, not in front of it
Send footage to Drop Highlight: via a DH upload link or Dropbox, whichever the team prefers
Instagram stories drive the scans. Three sends: Friday night, Saturday, Sunday. Friday is what fills the gallery for Saturday's scanners
Drop Highlight moderates daily, picks the fan favourites, drafts the gallery, sends for review, then puts it live

Drop, debrief & review

Two sends, then the export and the debrief.

Tue 4Fan gallery live. Email drop & story series featuring uploads. Being featured is what pulls in the next round
Thu 6Stowaway's professional content drops, to a list that's now warm rather than cold
Fri 7Competition winner announced. Closes the loop opened on the 26th
Confirm the 2027 early bird is live by the 6th. Without it, the final send has no CTA
Export the clean first-party file: segmented by day & ticket type
Review the fan-upload wall and the goals set on 16 July, then decide what runs at 2027 off the list Stowaway now owns
